1. About this policy

This policy explains how bookings, deposits, payments, cancellations and changes are handled by Bloomfolk Ltd.

Bloomfolk Ltd
Company number: 17438121
Registered office: 18 Montpelier Terrace, Brighton, BN1 3DF, United Kingdom
Email: hello@bloomfolk.co.uk

This policy applies to our floral design, bespoke floristry, event styling, installations, workshops, gatherings, retreats and related services, subject to any specific terms provided for your booking.

Where your proposal or booking confirmation contains service-specific arrangements, those arrangements should be read alongside this policy.

Nothing in this policy limits any rights you have under applicable consumer law.

2. Making a booking

You can enquire about our services through our website, by email or through other booking channels we make available.

Before confirming your booking, we will explain the service, price, payment schedule and any relevant service-specific terms.

Your booking will be confirmed in writing once we have accepted your booking and the agreed deposit or other confirmation requirements have been met.

For bespoke or event-based services, please check all details in your proposal before confirming, including the date, location, design brief, quantities, delivery arrangements and agreed budget.

3. Deposits and payment schedule

For bespoke floristry, event styling and other event bookings, our standard payment structure is as follows:

  • Booking deposit: 40% of the total agreed booking price, payable when the booking is confirmed.

  • Remaining balance: The remaining 60% is due no later than 45 days before the event date or agreed delivery date.

  • Bookings made within 45 days: Full payment is due when the booking is confirmed, unless otherwise agreed in writing.

The booking deposit is non-refundable and secures your booking date, allowing us to allocate time and resources, begin planning and, where appropriate, purchase materials or commit to suppliers.

If you cancel your booking, the deposit will not be refunded, subject to any statutory rights that apply to your circumstances. Any additional payments made will be dealt with in accordance with the cancellation terms below and applicable law.

Please pay by bank transfer using the details and payment reference provided on your invoice.

4. Cancellation by the customer

If you need to cancel your booking, please email hello@bloomfolk.co.uk as soon as possible. Your cancellation will take effect when we receive your written notice, subject to any applicable legal requirements.

For bespoke floristry, event styling and other services booked for a specific date, the following cancellation terms apply, subject to any statutory rights that cannot legally be excluded.

More than 45 days before the booking date

The 45% booking deposit is non-refundable. Any additional payments made will be assessed in accordance with the applicable booking terms and consumer law.

Between 30 and 45 days before the booking date

The booking deposit remains non-refundable. We may retain or charge an additional amount reflecting reasonable, evidenced losses arising from the cancellation, taking account of work completed, supplier commitments, costs saved and any amounts recovered.

Less than 30 days before the booking date

The booking deposit remains non-refundable. We may retain or charge an amount reflecting the reasonable, evidenced losses arising from cancellation, including work completed, committed supplier costs and other relevant losses, taking account of costs saved and any amounts recovered.

Any additional cancellation charges must be fair, proportionate and lawful. We will not seek to recover the same costs twice or charge for losses that have been avoided.

Where a statutory cancellation right or other consumer right applies, it will take precedence over any inconsistent term in this policy.

5. Bespoke flowers and made-to-order services

Bespoke floral arrangements and made-to-order products may involve advance purchasing, preparation, design work and perishable materials.

If you cancel a bespoke order, the amount payable or refundable will depend on the nature of the order, the work already completed, materials purchased, supplier commitments and any applicable statutory rights.

Some goods made to your specifications or clearly personalised may be exempt from certain statutory cancellation rights. This does not automatically remove rights relating to faulty goods, services not performed with reasonable care and skill, or other rights provided by law.

We will explain any relevant restrictions before you confirm your order.

6. Workshops, gatherings and retreats

Cancellation arrangements for workshops, gatherings, supper clubs, retreats and other ticketed experiences will be stated in the relevant booking information.

Where a booking is for an event taking place on a specific date or during a specific period, statutory cancellation rights may differ from those applying to other online purchases. The position depends on the type of service and the circumstances.

Where permitted by law, a booking deposit or ticket payment may be non-refundable. Any applicable restrictions, transfer options and cancellation deadlines will be explained in the relevant event information before you book.

If you cannot attend, please contact us as early as possible. We will explain whether a transfer, substitute attendee or other arrangement is available.

7. Rescheduling and date transfers

If you need to change your booking date, please contact us as soon as possible.

We will try to accommodate a date transfer where availability permits, but a transfer cannot be guaranteed.

Any change may depend on supplier availability, the season, venue arrangements, materials already purchased and work already undertaken.

We will confirm any revised price, new payment deadlines or additional costs before agreeing to the change.

If we cannot accommodate your requested date, we will discuss the options available under your booking agreement and applicable law.

8. Changes to the booking

We ask that all significant event details, including guest numbers, venue arrangements, timings, floral designs, quantities and other key requirements, are confirmed no later than 21 days before the event date.

Significant changes cannot be guaranteed within 21 days of the event. While we will always do our best to accommodate requests made after this point, any changes will be subject to availability, supplier commitments, materials already purchased and the practicalities of delivering your event.

We cannot guarantee that late changes will be possible. Any additional costs arising from agreed changes will be communicated to you before the changes are confirmed.

Changes to floral designs may also be necessary due to seasonal availability, weather or supplier disruption. We will aim to maintain the agreed style and quality and will discuss any material change with you.

9. Cancellation or changes by Bloomfolk

If we need to cancel a booking or cannot provide the agreed service, we will contact you as soon as reasonably practicable.

Depending on the circumstances, we may offer an appropriate alternative, a rescheduled date or a refund of payments for services we cannot provide.

We will not rely on this policy to avoid responsibilities that apply to us under consumer law or the terms of your booking agreement.

10. Circumstances outside our reasonable control

Circumstances such as severe weather, supplier failure, venue closure, transport disruption or other unforeseen events may affect a booking.

If this happens, we will discuss reasonable options with you, which may include a suitable alternative, rescheduling or a refund where required by law or agreed under your booking terms.

Any amount retained will be assessed in light of the circumstances, the work completed, committed costs, costs saved and applicable law.

11. Hire items, deposits and damage

Where your booking includes hired items, such as vases, vessels, props, styling pieces or other equipment, a separate refundable hire deposit may be required. The amount and payment arrangements will be confirmed in your quotation or booking documents.

You are responsible for taking reasonable care of all hired items while they are in your possession and for ensuring that they are returned or made available for collection in accordance with the agreed arrangements.

Following the return and inspection of hired items, the hire deposit will be refunded, less any reasonable and evidenced costs arising from loss, theft, damage or missing items.

Where items are lost, stolen, damaged or not returned, the relevant costs may be deducted from the hire deposit. Depending on the extent of the loss or damage, these deductions may result in a partial refund or no refund of the hire deposit. If the reasonable costs exceed the deposit amount, any further amount recoverable will be handled in accordance with the booking agreement and applicable law.

Any deductions will reflect the reasonable cost of repair, cleaning where necessary, or replacement, as appropriate. We will explain any deductions made from the deposit.

These arrangements do not affect any statutory rights that apply.

12. Refunds

Where a refund is due, we will confirm the amount and arrange payment using an appropriate payment method.

We aim to process refunds promptly and, where practicable, within 14 days after the refund has been agreed or becomes due. Any statutory deadline that applies will take precedence.

Where payment was made by bank transfer, we may ask you to confirm the account details needed to return the payment securely.

13. Your statutory rights

This policy does not affect any statutory rights you may have under UK consumer law, including rights relating to services, goods, unfair contract terms or cancellation rights where applicable.

The right to cancel an online booking depends on the type of service, how and when the contract was formed and any relevant statutory exception. The non-refundable deposit term does not override any mandatory statutory right to a refund.

If you are unsure how this applies to your booking, please contact us.
